Who is the data controller

Minho Solar is a trading name of Vividlogic Software International, Unipessoal Lda (NIPC 519248155), registered at Rua da Quinta de Abade, N.º 122, 2.º F, Feitosa, 4990-344 Ponte de Lima, Portugal. Quote requests

When you ask for installer quotes, we collect: the postcode, town and, if you give it, the street address of the property; your answers about the property, the bill, the timing and how you plan to pay; any notes you write; your name, email address and mobile number; the language you prefer to be contacted in; and the date and time you gave permission to share the request.

We use this to find installers who work in your area and meet our criteria, and to send them your request. The legal basis is your consent, given at the end of the form, and the steps you asked for before a possible contract with an installer.

We share the request and your contact details only with installers in our network, up to the number you chose (one, two or three), and we tell you by email who received it. From then on, each installer is responsible for the data it received, under its own privacy policy.

You can withdraw your permission at any time by writing to privacy@minhosolar.com. We then stop sending your request to new installers. Withdrawal does not undo a share already made, but if you ask, we pass your request for deletion on to every installer who received your details.

Installer applications

When an installer applies to join, we collect the company name, contact name, email, phone, tax number (NIF or NIPC), website, the districts it works in, what it installs and its message. We use them to assess the application and to contact the installer about it.

Account, estimate and Blueprint

If you create an account, we collect:

  • your email address, to send you a sign in link. We do not store passwords;
  • your name, email address and profile picture from Google, if you sign in with Google;
  • the session information needed to keep you signed in, in a strictly necessary cookie;
  • the language you use, so the account and its emails come in it.

When you answer the questionnaire, we keep your answers about the home, the roof, your energy use, an electric car, the timing and any notes, with your monthly bill and municipality. We use them for your estimate and, if you buy it, your Blueprint. The Blueprint text is written by an AI model from these answers and the published figures the site uses.

If you use the bill analysis, we keep the bill file you upload, a PDF or a photo, and what is read from it; an AI model reads the bill. If you use the roof analysis, we keep the address you enter and the roof data found for it. If you book the consultation, the booking is made on Cal.com with the details you give there.

We use these data to provide what you asked for and to let you use your account. We do not use them for unrelated marketing.

Where it is stored

Quote requests, installer applications, contacts and account data are stored in our database, hosted on Cloudflare's infrastructure in the EU. Notifications about them reach us through a GDPR compliant email provider (Resend) and are kept in our password protected email account. Payments are handled by Stripe and we do not store card details.

Cookies and browser storage

If you create an account, we set one strictly necessary cookie to keep you signed in. We also keep the language you are reading the site in, in a cookie called ms_lang, for up to a year, so the account area and its emails appear in the same language. Neither is used for advertising or to follow you on other websites.

While you fill in the quote form, your answers are kept in your own browser (session storage) so a reload does not lose them. They never leave your device until you send the form, and they are cleared when you send it or close the tab. Your browser also remembers that you have seen the dashboard's first visit tour and the “Before you go” window. Our forms use Cloudflare Turnstile to tell people from bots.

We advertise on Google Search. Only if you accept in the cookie notice does the site load the Google Ads tag, which keeps cookies whose names begin with _gcl_ in your browser for 90 days. They count how many people who clicked one of our ads went on to send a quote request or open WhatsApp. When it loads, the tag sends Google technical data about the visit, such as your IP address and browser, and Google may also use its own cookies on its own domains. Google handles that data under its own privacy policy. The legal basis is your consent. We do not use this data for personalised advertising or remarketing.

If you refuse, the tag is never loaded and none of this happens. We keep your choice in a cookie called ms_consent for 180 days, then ask again. You can change it at any time from “Cookie preferences” in the footer of every page.

We also advertise on Facebook and Instagram, with no Meta tag or cookie on this site. If you reach the quote form through one of our ads, the page address identifies the ad: on Google Search, its campaign and keyword; on Facebook and Instagram, its campaign, the ad and where it was shown. We keep those labels with your request, whether or not you accept cookies, so we know which ads bring requests. The legal basis is our legitimate interest in knowing which ads work. We do not keep the click identifier.

How long it is kept

We keep requests and contact details for up to 24 months after our last communication. Account data is kept for as long as your account is active. If you ask for deletion, we remove your data from our active records within 30 days.

Who we share it with

We never share your personal data with installers or anyone else without your explicit permission. Quote requests follow the rules above. To run the service we use a few processors, each bound by its own data protection terms:

  • Cloudflare: hosting and database (EU region), and Turnstile bot protection on forms;
  • Resend: service emails and sign in links;
  • Stripe: payments (we never see or store card details);
  • Google: sign in with Google, if you choose it, and the maps services the roof analysis uses to find the address and its roof;
  • NVIDIA: the AI model that writes the Blueprint from your answers and reads the bills you upload;
  • Cal.com: booking the consultation, if you book one.

Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you;
  • ask for inaccurate data to be corrected;
  • ask for your data to be deleted;
  • ask for processing to be restricted, or object to it;
  • receive your data in a portable format;
  • withdraw your consent at any time;
  • lodge a complaint with the Portuguese data protection authority (CNPD).

To exercise any of these rights, write to privacy@minhosolar.com. You can also delete your account yourself, in its settings.
